Reports

The Reports page is where you analyze your property's financial performance and export data for accounting, tax filing, and management reviews. Open it from Reports in the property sidebar. Each report (Revenue, Guests, Occupancy, Bookings, Cancellations, ADR, RevPAR, Channels, Costs) is its own page with a shared date range and interval in the URL, beside a guest-nationality globe and the operational report cards. Under Statements sit the Profit and loss and the Balance summary, built from your chart of accounts.

How the date picker works

Most sections on this page have their own date picker, so you can analyze different time ranges side by side. Each picker offers quick presets and a custom range calendar:

  • All Time. From the property's creation date to today.
  • Today
  • This Week
  • Last 7 Days
  • Last 30 Days (the default)
  • This Month
  • Last Month

To pick a custom range, open the picker and select a start and end date on the calendar. Charts and totals update automatically when the range changes. The picker button always shows the active preset and the exact dates it covers.

The weekly report email

Every week, on the morning of your property's week start, members who can open Reports and see financial reports receive an email with the figures these pages show for the last full week: Revenue, Occupancy Rate, ADR, RevPAR, Bookings, Cancellations and Guests, under the same names and in the same shape. The email does no arithmetic of its own; its button opens the Revenue report on that week. The figures are read at the moment the email is sent, so a void or a room status change made later shows on the Reports pages and not in the email. Each send is recorded in the property's Activity log.

Guest Nationalities

The Guest Nationalities section shows an interactive globe with your guests' top countries of origin across all time (it is not affected by the date pickers). It lists the total number of guests, how many countries they came from, and a ranked top-ten list with each country's share. Drag the globe to rotate it. This view is useful for marketing, language support, and understanding your guest mix. If there is no nationality data yet, the section is hidden.

Report cards

Below the overview, each report card has its own date picker so you can analyze it independently.

Occupancy & Revenue

Daily trends over the selected period, shown as two line charts:

  • Occupancy Trend. Daily occupancy percentage, with the average occupancy for the period.
  • Revenue Trend. Daily revenue, with the total for the period.

Use this card to spot seasonal patterns, weekday-versus-weekend swings, and whether occupancy and revenue are trending up or down.

Tax Breakdown

A breakdown of taxes collected by type for the selected period, shown as a distribution chart and a per-tax amount chart. Taxes are split into Exclusive (added on top of the rate) and Inclusive (already contained in the rate) totals, with a grand total of everything collected.

This card supports exports for accounting and compliance. Use the buttons at the top of the card:

  • CSV. Downloads a spreadsheet with each tax's name, type (Inclusive or Exclusive), total collected, and transaction count.
  • Excel. Downloads a formatted workbook that includes your property's name, address, and tax registration number alongside the figures.
  • Green Tax. Appears only for properties in the Maldives, and produces the Maldives Green Tax return workbook.

Note

Tax figures depend on how your taxes are set up. If a tax looks wrong or is missing, confirm the property's tax settings and registration details in Property settings.

Revenue by Source

Revenue segmented by booking source for the selected period, shown as a donut chart of revenue share and a ranked bar chart of revenue per source. The card also shows how many active sources and reservations contributed. Use this to see which channels (Direct, OTA, Corporate, and any custom sources) drive the most revenue.

Payments

A breakdown of money collected by payment method for the selected period, shown as a distribution chart and a per-method chart. The card shows the grand total collected and the number of transactions. Use it to reconcile takings and understand how guests prefer to pay.

Note

For transaction-level detail behind these totals, review individual folios and settlements. See Payments and settlements.

Booking Sources

A performance comparison across booking sources for the selected period. It shows a radar chart comparing each source on revenue and reservation volume, plus a revenue bar chart, with totals for reservations and revenue. This is the foundation for distribution-strategy discussions: it shows which sources bring the most bookings and the most money, so you can judge whether a channel earns its commission.

Statements

The two statements read every figure by account in your chart of accounts. They need the View Financial Reports permission; the Balance summary also needs View Folios & Charges, because it shows the cashboxes. Export as CSV in the menu beside the controls needs Export Reports.

Profit and loss

Revenue and expenses for the period in the date picker, by account, in your base currency. Turn on Previous period to set the period of the same length just before it beside each figure. A sub-account sits indented under its account, and the account's figure includes it. The arrow beside an account opens what its figure is made of (room nights, a service, an outlet, a payment method, an expense category); the account's name opens it in the chart of accounts.

  • Revenue is income that is yours: net of tax and service charge, with voids taken out, exactly as the Revenue report counts it.
  • Expenses are channel and agency commission, payment fees and the expenses ledger, exactly as the Costs report counts them. They, and Net profit, need View Expenses & Profit and the Expenses module.
  • Collected for others is tax, service charge and third-party sales taken in the period. It is not revenue and not a cost.
  • Paid against balances lists expenses recorded in a category linked to a liability or payable, such as tax paid to the government. They pay that balance down instead of counting as a cost.

Third-party sales

When a guest pays for an outside provider's service on the folio, the Revenue report counts the whole sale. The Profit and loss counts only the commission you keep as revenue, and holds the rest for the provider. How this ties to the reports, at the foot of the page, shows the step from one to the other: the Revenue report, less third-party sales passed through, is your revenue accounts, to the cent. The Costs report, less what was paid against balances, is your expense accounts.

Balance summary

What the property holds, is owed, holds for others and owes at the end of the day you pick (today by default):

  • Assets: each cashbox, at the value its payments were taken at. A cashbox in another currency shows its own amount and the rate, for example MVR 3,084.00 @ 0.0649. Stock is shown at recorded cost, only for items with a unit cost on record.
  • Receivables: what guests, booking channels that collected for a stay, and agencies still owe on their folios.
  • Liabilities: payments taken before arrival, tax and service charge collected to date less what was paid against them, money held for outside providers, tips, and loyalty points at today's value per point.
  • Payables: agency commission on statements not yet paid.

Money in another currency with no rate on record (a statement or stock kept in another currency) is shown in its own currency and not added to the totals. It is not a full balance sheet: fixed assets, loans and owner's equity are not recorded in Veridien, so the groups are not meant to balance.

Common workflows

Night auditor: end of day

At the close of business, review:

  1. Occupancy & Revenue for today, to confirm revenue posted as expected.
  2. Payments for today, to confirm cash and card takings are accounted for.
  3. Tax Breakdown for today, to confirm taxes posted correctly.

See Night audit for the close process itself.

Accountant: monthly close

At month end:

  1. Set Occupancy & Revenue to the full month to recognize accommodation revenue.
  2. Set Tax Breakdown to the full month and export the CSV or Excel (or Green Tax workbook) for your filing.
  3. Set Payments to the full month and reconcile each method against your bank deposits.
  4. Open Profit and loss for the month with Previous period on, and export it as CSV for your books.

Revenue manager: weekly review

Each week:

  1. Check Occupancy & Revenue for the past week against earlier weeks.
  2. Open Revenue by Source to see which channels are contributing the most revenue.
  3. Open Booking Sources to compare reservation volume and revenue per source, and decide whether to adjust rates or distribution.
