Linked Reservations
When one party needs more than one room, a family taking adjoining rooms or a coordinator booking for a small team, Veridien lets you book them together. Selecting multiple rooms (or multiple room types) in the reservation wizard creates a linked group: the rooms share one guest, one set of dates, and one booking source, while each room keeps its own assignment, rate, folio, and check-in status.
How linking happens
There is no separate "group booking" screen. Linking is a natural result of the reservation wizard:
- Increasing the quantity on a room type books several rooms of that type.
- Clicking Select on more than one room type adds different room types to the same booking.
When the booking includes more than one room, Veridien tags the reservations with a shared group identifier so the front desk can see they belong together. The wizard's success screen confirms this with a summary such as "Group of 3 reservations" and a room summary like "2x Deluxe Room, 1x Suite". See Creating Reservations for the full wizard walkthrough.
When to link rooms
Link rooms whenever one person is responsible for the whole booking:
- A family taking two or three rooms for a holiday.
- A coordinator reserving rooms for a small team.
- A guest who wants a second room for a travelling companion.
Linked rooms vs. separate bookings
If the rooms are really booked by different people who simply know each other, make separate reservations so each person owns their own booking, folio, and contact details. Link rooms only when a single party or coordinator is responsible for all of them.
What the rooms share, and what they do not
Within a linked booking:
- The guest, dates, and booking source are shared across the rooms as you build them in the wizard.
- Each room is its own accommodation, with its own room assignment, rate plan, occupancy, and check-in status.
- Occupancy can be set per room in Step 2, so each room can hold a different number of adults and children.
- Each room contributes its own charges; the summary prices the whole party together, including any per-room occupancy surcharges and shared taxes.
Managing a linked booking
Open any reservation in the group to see its rooms on the Accommodations tab. From there you can:
- Check rooms in and out individually, so part of the party can arrive or leave on a different schedule.
- Edit or remove a single room without touching the others.
- Add Room to attach another room to the same booking after it was created.
To name the people staying in each room, use the Guests tab, which provides a slot for every adult and child across the booking and lets you download a guest voucher.
Cancel rooms individually when only one drops
Cancelling the booking cancels every room in it. If only one room needs to go, remove or cancel that specific room on the Accommodations tab instead of cancelling the whole reservation. See Modifying Reservations.
